03

Website chat and AI

Our website chat is powered by artificial intelligence, not a human. It answers using the content of our website. To generate answers, your chat messages are sent to a third-party AI service provider, currently OpenAI, that processes them on our behalf under a data processing agreement. [Confirm after the agreement is signed: Under our agreement the provider does not use this data to train its models, and may retain it for up to [30] days for service delivery and abuse monitoring.]

Your name and email are collected through a separate step in the chat and stored by us. They are not intended to be sent to the AI provider. Chat conversations are kept for [6] months, then deleted. We may in future move to a model we operate ourselves; if we do, we will update this policy.

04

Cookies and analytics

We use cookies and similar technologies in two groups:

  • Essential: needed for the site and chat to work (for example, a chat session identifier). These do not need consent.
  • Analytics: Google Analytics (provided by Google LLC) tells us how visitors use the site. We set these only if you choose “Accept” on the cookie banner. You can change your choice at any time using “Cookie settings” in the footer, or by blocking cookies in your browser.

The cookies we use are listed in our Cookie Settings notice.

05

Who we share information with

We share information only with providers that help us run the website and our business, under contracts that require them to protect it:

  • Hosting and infrastructure providers: AWS and A2 Hosting
  • AI service provider for website chat: OpenAI
  • Email and CRM tools: Zoho
  • Spam and abuse protection for website forms: Google reCAPTCHA
  • Analytics provider: Google (only if you accept analytics)

We may disclose information if the law requires it.

06

International transfers

We are based in India. If you are in the EU, UK or elsewhere, your information is transferred to and processed in India. Our AI service provider and some other providers process data in the United States and other countries. Where required we rely on safeguards such as Standard Contractual Clauses (and the UK Addendum or IDTA for UK data) in our agreements with these providers.

07

How long we keep it

InformationKept for
Chat conversations[6 months]
Enquiries that do not lead to a project[24 months] from last contact
Enquiries that become a client relationshipDuration of relationship plus [period required by contract or law]
Job applications[12 months] unless you ask us to remove them sooner
Consent records[3 years] after consent ends, to show we complied
Analytics data[14 months] (Google Analytics setting)

When the period ends, we delete the information or irreversibly anonymise it so it can no longer be linked to you.

08

Security

We protect information with encryption in transit, encryption at rest [confirm], access controls limited to people who need it, logging of access, and regular security reviews. We check our providers’ security and have a process to respond to and report data breaches as the law requires. No system is completely secure, so we cannot promise absolute security.

09

Your rights

Depending on where you live, you may have the right to access, correct, delete or export your information, to object to or restrict processing, to withdraw consent, and to complain to your data protection authority. Under India’s DPDP Act you may also nominate someone to exercise rights on your behalf and contact our Grievance Officer.

To withdraw consent or ask us to remove your details, use our [Data Request page] or email legal@ritetechnologies.net. We will verify your identity and respond within 30 days. Withdrawing consent does not affect processing done before you withdrew. Where the law requires us to keep some records, we will tell you what and why.

10

Children

This website is not directed at people under 18, and we do not knowingly collect their information. If you believe a child has given us information, tell us and we will delete it.

11

Changes to this policy

We will post updates here with a new version number and date. If a change is significant, we will say so on the site [and ask for your consent again where the law requires it].
